The TradeFlow System ("TradeFlow", "we", "us") is a UK marketing business run by Callum Rylance. This policy explains what we collect on this site and its booking pages, why, who we share it with, and the choices you have. It applies to visitors and to the solar installation businesses that apply to work with us.

What we collect

What you give us. Your name, email address, mobile number, company website or social page, your answers to the qualification questions, and the time you choose for a call.
What your device gives us. IP address, browser and device type, the page you arrived on, the referring page, and campaign parameters attached to the link you clicked (for example the ad or campaign name).
Cookies and pixels. We use the Meta Pixel and similar tools to measure our advertising and to show relevant ads to people who visited this site. These set cookies and send limited event data (such as a page view or a completed application) to Meta. See "Your choices" below.

Why we use it

To review your application and decide whether our service is a fit for your business.
To ring you at the time you booked, and to schedule, confirm and remind you about calls.
To contact you about our services by email, phone or text message.
To measure and improve our advertising and this website.
To detect fake or automated submissions and to keep our systems secure.

Our lawful bases under UK GDPR are the steps needed before entering a contract with you, our legitimate interests in running and improving our business, and your consent where we rely on it for marketing cookies.

Calls and messages. By giving us your mobile number you agree that we may call or text you about your application and our services. Reply STOP to any text to opt out, or tell us on a call and we will stop.

Who we share it with

We do not sell your personal information. We share it only with the providers that run this site and our sales process on our behalf, under contract: website hosting (Vercel), scheduling (Calendly), our CRM and automation tools, our database and team messaging tools, the marketing agency that manages this funnel for us (Optimally), and advertising platforms for measurement (Meta). We may also disclose information where the law requires it or to protect our rights.

How long we keep it

Application and booking records are kept for as long as we have a business relationship with you or a reasonable prospect of one, and then for as long as we need to meet legal, accounting or dispute-resolution obligations. You can ask us to delete your record at any time.

Your choices and rights

Marketing. Unsubscribe from any email using the link in it, reply STOP to any text, or email us.
Cookies and pixels. Block or clear cookies in your browser, and manage ad preferences in your Meta account settings.
Access, correction, deletion and objection. Email us and we will confirm what we hold about you, correct it, delete it, or stop using it, subject to any legal obligation to retain it. You can also complain to the Information Commissioner's Office at ico.org.uk.

Where your data is held

We operate from the United Kingdom. Some of our service providers process data in the United States and the European Economic Area under appropriate safeguards.

Children

This site is for businesses. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy we will update the date at the top.
